A construction quote turns a reviewed estimate into a proposed price the customer can accept. It should identify the exact scope version, included allowances, exclusions, validity period and the process for changes.

Use the line items for customer-facing phases and keep supporting takeoffs or schedules attached in your normal workflow. The total should reconcile to the scope without forcing the customer to decode internal cost codes.

Freeze the scope version

Reference the plans, revision date, site visit and selection schedule used for the quote. If documents conflict, resolve the conflict before acceptance or state which document controls.

List exclusions where they are visible. Commonly disputed items should not be left to assumption simply because they are not in a line item.

Make acceptance operational

State how the customer accepts, how long the quote remains open and what must happen before scheduling. A deposit request, if used, should match the governing agreement and applicable local requirements.

After acceptance, create the work order or project record from the approved scope. Invoice only completed milestones, stored materials and authorized changes under the agreed billing process.
