A work order sits between a customer request and the final invoice. It tells the person doing the job exactly what is authorized, where the work happens, when it is scheduled, and which labor or materials belong to the job. The generator above gives each job a WO number and turns those details into a document you can print or download.
Use one work order per visit or discrete job. Keep the descriptions operational rather than vague: name the equipment, room, asset or service, then state the expected result. When the work is complete, the same line structure can become the invoice, which makes customer approval and bookkeeping much easier to reconcile.
What to include on a work order
Include the customer and job-site address, a unique work order number, created and scheduled dates, the requested scope, labor and material allowances, access instructions, and an approval rule for changes. If a serial number, vehicle registration or asset ID identifies the thing being serviced, add it to the notes.
A work order should make scope changes visible. State that extra work needs approval, then add a new line or revised work order when the customer authorizes it. That paper trail protects both sides from the classic “I thought that was included” dispute.
From work order to invoice
After the job, replace estimated hours and materials with actual quantities. Download the completed work order for the job file, then open the invoice generator and reuse the approved line descriptions. The work order documents authorization; the invoice requests payment.
For field teams, put the WO number on photos, purchase receipts and time entries. A single shared reference is the simplest way to keep job costs connected before the invoice is issued.

Frequently asked questions
Is a work order the same as an invoice?
No. A work order authorizes and describes the job; an invoice asks the customer to pay after the work or an agreed billing milestone.
Should a work order include prices?
It can. Showing estimated labor and materials helps the customer approve the scope. Mark estimates clearly and require approval before exceeding them.
Can I download this work order in Word or Excel?
Yes. Complete it in the browser, then use the download menu for PDF, editable DOCX or formula-ready XLSX.
Does this tool store customer or job data?
The editor works in your browser and saves drafts locally on that device. The document fields are not uploaded to create the file.
