How to make a timesheet clients can approve quickly

Write entries that answer what happened without exposing unnecessary detail: “Homepage wireframes and review” is more useful than “Design.” Keep dates in the description, use decimal hours consistently, and separate work billed at different rates.

Submit timesheets on a predictable cadence. Weekly approval reduces memory disputes and catches scope problems before a month of time accumulates. Put the client, project name and any PO number in the document so accounts payable can match it later.

Decimal hours and rounding

Convert minutes to decimal hours before entry: 15 minutes is 0.25, 30 minutes is 0.5 and 45 minutes is 0.75. If your agreement allows rounding, state the increment—such as six minutes or fifteen minutes—and apply it the same way to every entry.
