Hourly, day-rate or retainer — a consultant’s invoice with the detail clients’ finance teams expect.

Consulting invoices get processed by finance teams, not by the person you worked with — so the invoice must survive on its own: period covered, engagement named, PO number quoted, expenses at documented cost. This template prefills that anatomy with net-30 terms, the corporate standard.

The work-summary line in the notes is deliberately brief — two or three bullets naming outcomes. It gives the approver something to approve without turning the invoice into a report; the detailed time log stays available on request.

Hourly, day rate, or value pricing on the invoice

Hourly ($100–300+ for independent consultants, specialism-dependent) suits open-ended advisory; day rates ($1,000–3,000+) suit workshops and on-sites; fixed fees suit defined deliverables. The invoice structure is identical — what changes is the quantity unit, so name it in the description (“24 hrs”, “1 day”, “Phase 1 fixed fee”).

For retainers, invoice in advance on the 1st with the covered period named. Advance billing for reserved capacity is standard; make the rollover policy explicit once and repeat it nowhere.

Expenses without friction

Bill expenses at cost, per the policy in your agreement (economy airfare, standard hotel caps), as one line with receipts attached or referenced. Marked-up expenses destroy trust disproportionately to their revenue — make money on your rate, not on the airport sandwich.

If the client issued a PO, quote it on the invoice — at many companies an invoice without a PO number literally cannot be paid. Ask for it at kickoff; chase it before the first invoice, not after.

What payment terms do consultants use?

Net 30 is the corporate default; net 14 for small businesses. For long engagements, invoice monthly rather than at completion — unbilled WIP is risk you carry for free.

Should I itemize hours in detail?

Summarize on the invoice (total hours, engagement, period) and keep a detailed log available on request. Line-by-line six-minute increments invite micro-auditing; summaries with backup available get approved.

Is consulting taxable?

It depends on the service, seller and customer locations, delivery method and tax registration. Verify the applicable state, VAT or GST rule before adding tax or reverse-charge wording.

How do I invoice a retainer client for extra work?

Separate line or separate invoice, explicitly outside the retainer (“Out-of-scope: board session prep — 6 hrs”). Silence about overage is how retainers become all-you-can-eat.
