The freelance invoice that gets paid fast does three things: names the deliverable precisely, states when payment is due in days (not “on receipt”), and carries consequences — a late fee and a pause clause. This template prefills all three.

The ownership line in the notes is the freelancer’s quiet leverage: rights transfer on payment, which is both standard practice and the reason chronic late-payers suddenly find the accounts email. Net 14 is the sweet spot for freelance work; net 30 only for corporate clients whose AP genuinely needs it.

Deliverable-first line items

Bill the thing, not the time, whenever you can: “Brand identity — logo suite, color system, usage guide” reads as value; “22 hours design work” invites hourly-rate math. Keep hourly lines for genuinely open-ended work and overage beyond included revisions, priced per your agreement.

Revision overages deserve their own line at a stated rate — it enforces the scope you quoted and makes the third round of “tiny tweaks” a business decision instead of a resentment.

Deposits, milestones and getting paid

For new clients: 30–50% deposit before work starts, balance on delivery — invoice the deposit as its own document and show it as “Amount paid” on the final. For projects over a few weeks, bill milestones monthly; unbilled work is a loan you didn’t agree to make.

Put your payment method where they can’t miss it. Bank transfer details in the notes, or a payment link in the terms — every extra step between “approved” and “paid” costs you days.

What payment terms should freelancers use?

Net 14 by default, net 30 for corporates with formal AP, due-on-receipt only for tiny jobs. Always a date computed from the invoice — “payment due Aug 12” outperforms “net 14” alone.

Do freelancers charge sales tax?

Depends on where you are and what you sell: many US states don’t tax most freelance services, some tax digital goods; VAT/GST countries typically require it above a registration threshold. Confirm your local rule before adding tax.

Can I charge late fees?

Only when the contract and applicable law allow it. State the rate and trigger before work begins, and check local caps, notice rules and statutory remedies rather than copying a default percentage.

Invoice before or after delivery?

Deposit before starting, final invoice with delivery — released against payment for new clients (watermarked previews or holdback of source files until paid). Trusted repeat clients: deliver and invoice same day.
