What to define before the customer accepts
State what is included, the total price, how long the offer stands and the agreed acceptance method. Choose a validity period that matches your costs rather than copying a universal default.
Use specific scope descriptions such as “Kitchen repaint — walls and ceiling, two coats, paint included.” List important exclusions, assumptions and change-order handling in the notes.
Quote vs estimate — pick the right document
A quote usually presents a more definite price and scope than an estimate, while an estimate communicates an approximation that may change. When hidden conditions or measurements remain unresolved, use an estimate or state the assumptions explicitly.
If the customer requests a scope change after approval, preserve the original record and issue a revised quote or change order with a new reference instead of silently overwriting it.
