Wedding and private-event rates vary hugely by market: $500–1,500 for a standard 4-hour reception is a common range, with premium markets far above. The balance-before-event term is industry standard — nobody chases payment during a reception.
The overtime line is the professional tell
Print the overtime rate and the on-site authorization protocol (“overtime authorized by [planner/couple]”) in advance. When the party runs long, you get a yes from the named person, play the hour, and the invoice already carries the price — no morning-after negotiation.
Setup and teardown time is conventionally unbilled (it’s in your rate) but *say so* — “setup 90 min before start, not billed” converts invisible work into visible value.
Packages, gear and add-ons
Itemize the equipment package even when bundled: PA, wireless mics, dance lighting. It differentiates you from the laptop-and-speaker competitor at half your price, and it prices cleanly when a client asks for “just a ceremony mic” or uplighting add-ons ($200–400 typical).
MC duties, ceremony audio at a second location, and photo-booth add-ons all deserve their own lines — bundle price if you like, but line visibility is what sells the upgrade next time.
