A rent receipt records who paid, which property and rental period the payment covers, the amount, date and payment method. Those details matter when one tenant has multiple charges or a payment arrives early, late or in parts. Replace the sample address and month before downloading.
Enter the full payment in Amount paid so the receipt shows a zero balance and PAID mark. If the payment covers rent plus a separate fee, use individual lines rather than combining them. Both the tenant and landlord should keep a copy with the same receipt number.
What a rent receipt should show
Include the landlord or property manager, tenant, property address and unit, rental period, amount received, date, payment method and a unique receipt number. If the payment is partial, say that plainly and leave the unpaid balance visible.
For cash, issue the receipt when money changes hands and retain a duplicate. For bank or card payments, the transaction reference can go in the terms, but the receipt should still identify the month and property the payment settles.
Rent receipts and recordkeeping
Requirements vary by location and payment method, so treat the template as a record rather than legal advice. Use one numbering sequence and do not overwrite old receipts when correcting an error; issue a corrected copy that references the original.
Consistent receipts help resolve payment disputes and make year-end income reconciliation faster. Export PDF for the tenant and keep an editable Word or Excel copy if your workflow requires it.

Frequently asked questions
Does a landlord have to provide a rent receipt?
Rules vary by jurisdiction and sometimes by payment method. Even where it is not mandatory, a receipt is good evidence for both landlord and tenant.
What if the tenant pays only part of the rent?
Enter the amount actually received in Amount paid and leave the remainder as the balance. State “partial rent payment” and the covered period in the notes.
Can I use this for cash rent?
Yes. Record “cash” as the payment method, issue it immediately and keep a copy with the same receipt number.
Is the rent receipt data uploaded?
No document fields are uploaded to generate the receipt. Draft persistence uses local browser storage on the device you are using.
